PTA Executive Board Position Descriptions

President
Coordinate the work of the officers and committees of the association in order that the purposes may be promoted.
Preside at all meetings of the association.
First Vice President (VP Aide)
Serve as Aide-to-the-President
Preside in the absence of the president (in their designated order).
Assist the president as necessary
Be responsible for the installation of a new officer.
Second Vice President (VP of Programs)
Be in charge of Programs.
Preside in the absence of the president (in their designated order).
Third Vice President (VP of Membership)
Be in charge of Membership.
Responsible for membership drive and contest; accept dues and remit them to Treasurer.
Compile duplicate lists of membership and distribute as necessary (President, Secretary, Texas PTA).
Submit state and national dues, checks and membership lists.
Preside in the absence of the president (in their designated order).
Fourth Vice President (VP of Hospitality)
Be in charge of Hospitality.
Arrange for a welcome back meal for staff before school starts.
Provide snacks and drinks for board meetings.
Coordinate Fall and Spring Donuts with Grown-ups events.
Preside in the absence of the president (in their designated order).
Fifth Vice President (VP of Ways & Means)
Be in charge of Ways and Means.
In charge of coordination of all money-making activities of the association, such as catalog sales, and spirit events at local restaurants, etc.
Preside in the absence of the president (in their designated order).
Sixth Vice President (VP of Yearbook)
Be in charge of Annual Yearbook.
Coordinate yearbook sales, production and distribution.
Preside in the absence of the president (in their designated order).
Secretary
Record and maintain the minutes of all meetings and record of attendance at executive board meetings.
Send of cause to be sent, notice of meetings of the members and of the executive board.
Be responsible for all correspondence.
Have a current copy of the bylaws.
Maintain a membership list.
Maintain a list of local officers who have completed Texas PTA Leader Orientation, with dates completed.
Can not be a member of the financial reconciliation committee.
Treasurer
Have custody of all the funds of the association.
Be authorized to sign on bank account.
Be authorized to sign tax documents.
Complete and file all necessary tax documents.
Keep books of account and records.
Make disbursements in accordance with the budget adopted by the association.
Present a financial report, both written and verbal at every PTA meeting.
Present books to the audit committee as required.
Parliamentarian
Advise the presiding officer on questions of parliamentary procedure.
Serve as legislation chairman, to protect children and to improve teachers' working conditions.
Encourage members to be informed voters.
Vote  only when the vote is by ballot.

Standing Committee Position Descriptions

Arts in Education
  • Coordinate Reflections art contest as prescribed by RISD Council of PTAs.
  • Encourage enthusiastic interest in the cultural arts and an appreciation of their contribution to the enrichment of daily living.


Beautification
  • Be responsible for planting and maintenance of flower beds.
  • Coordinate Environmental events.
  • Approve general appearance of outside of school, within budget means


Council Delegates
  • Attend monthly RISD Council of PTAs general meetings and report back to the Executive Board.
  • Coordinate 1st and 2nd graders' attendance at Council-sponsored play.
  • Coordinate Used Book Fair donations, sorting, delivery and staffing.


Education Awareness
  • Act as a liaison between school administrators and the PTA membership regarding all phases of innovative educational programs such as Box Tops for Education and Campbell's labels.


Field Day
  • Work with P.E. teacher/coach to coordinate Field Day.


Health and Welfare
  • Work with Nurse to coordinate any health and welfare events held at school, such as Vision & Hearing Screening, and Dental Sealant Days.
  • Coordinate Red Ribbon Week.


Inclusiveness
  • To continually be a voice for all children by reflecting diversity and being inclusive in our membership, leadership, program content, advocacy, training, partnerships and communications.  
  • Promotes cultural awareness and communication among all cultural groups.  
  • Organizes and participates in school and community events that promote this mission, including assisting with the school's annual multicultural event. 
  • Provide an opportunity for families and teachers of students who learn differently (i.e. Specials and Gifted Education) to share resources and friendship. 


Multicultural
  • Coordinate the Multicultural Program and General Meeting, in coordination with the assigned staff liaison.


Parent Advisory Committee (PAC) Representative
  • Solicit and submit questions to committee.
  • Attend 3 meetings per year.
  • Disseminate answers as appropriate.


Room Representative
  • Recruit room representatives for each grade level and class; be the link between Executive Board and room reps.
  • Inform room reps of their responsibilities (coordination of 3 parties, communication to parents).
  • Obtain staff birthday list from Hospitality VP (or President) and distribute to room reps.
  • Request party money from Treasurer and distribute to room reps in a timely manner.


Spirit Wear
  • Coordinate spirit wear designs, orders and sales.


Teacher Appreciation
  • Shall recognize teachers throughout the year.


Teacher Representative
  • Serve as a liaison between teachers and executive board.


Technology
  • Keep website, Facebook, and Twitter up to date with the latest news and information.
  • Coordinate conveying school information with staff via the above means.


Volunteer Services
  • Encourage parents to become involved in the school and community activities.
  • Serve as a chairman of the volunteer program for "parent aides."
  • Develop and distribute recruitment forms for volunteers and relay gathered information to the appropriate person(s).
  • Collect and turn in volunteer hours to RISD Council of PTAs.
  • Chair committee for the Golden Apple Award.
